Member Week Page

To display the Member Week Page, click the Supervisor menu at the top menu bar, then use the View dropdown and select Members.


Data in Member Week Page are sorted by Member's last name.

Member Week Page supports Paging, Sorting, and Filtering. Refer to Paging, Sorting, Filtering for more information.

How to Create a New Shift

Follow the instructions below to create a new Shift.

  • Locate the Member for whom you want to create a Shift. In some cases, the member you are looking for might be in another page.
  • Locate the day of the week this member should be working.

If the member is not working on that day, then you will find an empty cell with a gray dropdown icon. Click that cell, and it will bring up a menu with 3 options.

  • Recently Used Hours - if one of those is what you are looking for, click it and you are done.
  • Paste - if you previously Copied a shift from elsewhere, this menu would be enabled. You can use this menu to Paste it.
  • Enter Manually - if neither of the above is what you are looking for, choose this menu to being up a Shift Editor.

If the member is already working that day, and you see one or more shifts in that cell, you have the following options to create another Shift.


Using drag and drop - on desktop device only

If you are using a mouse, you can grab a Shift from one cell (from another Member and/or another day), and drop it into another cell. For an example, if you grab Member A's shift from 0800-1600 on Monday and drop it to Member B's cell on Wednesday, Member B will be assigned a shift on Wednesday from 0800-1600.


How to Edit a Shift

Follow the instructions below to edit a Shift.

  • Locate the shift you want to edit. In some cases, the member you are looking for may be in another page.
  • Click the shift to bring up a dropdown menu.
  • Select Edit. Alternatively, you can double-click the shift to bring up the shift editor directly.
  • Follow the instruction in Shift Editor to edit the shift
  • Click Save Changes when you are done

How to View Shift History

Follow the instructions below to view Events that are associated with a Shift

  • Locate the Shift you want to review.
  • Click the shift to bring up a dropdown menu.
  • Select the View History menu.

How to Repeat a Shift

Once you create a shift on Monday, you might want that same shift to be repeated for the rest of the week. Follow the steps below to repeat an existing shift you've already created.

  • Locate the shift you want to repeat.
  • Click the shift to bring up a dropdown menu.
  • Under the Repeat section, select the number of times you want the shift to repeat.
IMPORTANT

Schedule-Zero will not create a new shift on other days of the week if doing so will cause a conflict. If you wish the new shift to replace existing shifts, you must delete them first.


How to Split a Shift

Splitting a shift can come in handy when you want to mark only a part of shift as Overtime or Absence. Follow the step below to split a Shift.

  • Locate the shift you want to split.
  • Click the shift to bring up a dropdown menu.
  • Select the Split Shift menu
  • Enter the time when the shift should be split into two in HHmm format (i.e. 1300 for 1PM).
  • Alternatively, use the slider below to change the split time.
  • Change the details of the two shifts being created as necessary.
  • Click the Split button.
IMPORTANT

When the start time of the split shift is after the midnight, the resulting shift will appear on the next day (since it starts on the next day). If you are splitting a shift on the last day of the week, and the resulting shift is to appear on the following week, the destination week must already exist. Refer to Start a New Week for more information.


Adding a Shift before an existing Shift

Follow the steps below to add a shift before another shift.

  • Locate the Shift to which you want to prepend another Shift.
  • Click the shift to bring up a dropdown menu.
  • Select the Add Shift Before menu.
  • Use the Shift Editor to enter the Start and End time. Edit other attributes as necessary.
  • Click the CREATE SHIFT button.

Adding a Shift after an existing Shift

Follow the steps below to add a new Shift after another Shift.

  • Locate the shift to which you want to append a new shift.
  • Click the shift to bring up a dropdown menu.
  • Select the Add Shift After menu.
  • Use the Shift Editor to enter the Start and End time. Edit other attributes as necessary.
  • Click the CREATE SHIFT button.

Marking shift as Overtime and/or Absence

Follow the steps below to mark a shift as Overtime and/or Absence

  • Locate the shift which you'd like to mark Overtime and/or Absence
  • Click the shift to bring up a dropdown menu.
  • Click the Overtime to mark this shift as Overtime.
  • Select the Absence to mark this shift as Absence.

How to Delete a Shift

Follow the steps below to delete a shift

  • Locate the Shift you'd like to delete
  • Click the shift to bring up a dropdown menu.
  • Select the Delete menu.

View a Month Calendar

When you are scheduling someone's week, it might be helpful to see his/her schedule for the entire month. Follow the steps below to see a member's schedule for the whole month.

  • Locate the member whose Month's schedule you'd like to see.
  • Click the ellipsis icon in the rightmost column, then select View Calendar.
IMPORTANT

This view shows all schedules including those that are not yet Published. Only the published schedules are visible to your employees.


View Week's History

Viewing events related to a Shift might not be enough when you are trying to validate a member's week that includes Shifts that were deleted. Viewing history for the entire week includes events for the Shifts that are no longer present.

  • Locate the member whose events for the week you'd like to view
  • Click the ellipsis icon in the rightmost column, then select View History menu

Print & create PDF

You can create a hard copy of your schedule by using the Print Button at the top right corner of the screen.

Here are some hints that might help you achieve a better looking printout.

  • Select Landscape. If you use Portrait, not all days of the week may fit.
  • Select a paper size that'll fit the entire week's schedule
  • If the schedule still does not fit, use the Scale option to fit the table.

If you wish to create a PDF file, select the Save as PDF option from your printer selection dropdown. Be sure to save it on a location where you can find it easily afterwards, such as your desktop. You can then send that PDF as an attachment using any of the email software on your system.
